Bachelor and Master Thesis

The process of preparing final papers is carried out via the VIS system, under the "End of Study" tab. This applies to both bachelor and master proposals as well as final work. Rules, instructions, proposals, and forms related to the process are also available in VIS under "Materials/Other Materials/Study Materials." Here, you can also find the announced topics for final works and the timetables for the Committee for Study Affairs sessions.

Currently, this process applies only to undergraduate and master’s study programs. For doctoral candidates, submissions are carried out according to the "Regulations for Doctoral Studies," which is explained further below.

Chicago-Style citation is used to cite sources and literature. For doctoral theses, students may use APA citation style upon prior agreement with the supervisor.

Process of Preparation of the Thesis on Bachelor and Master Programs

  1. The mentors propose topics for final papers (theses), which are approved by the Committee for Study Affairs. Topics are published in VIS under "Materials/Other Materials/Study Materials," organized by study program. Students can also choose their own topic.

  2. The student prepares the thesis proposal using the relevant template published in VIS under "Materials/Other Materials/Study Materials." This proposal must be coordinated with the potential mentor.

  3. The submission of the thesis proposal takes place via the VIS system after the mentor approves the content. This can be done under the "End of Study" tab. After choosing a topic, submitting the proposal, and securing mentor approval, the proposal will be reviewed by the Committee for Study Affairs at the next scheduled session (schedules are published in VIS under "Materials/Other Materials/Study Materials"). The mentor can enter their confirmation in VIS, or the student can print the O1 form from VIS, which is signed by the mentor and submitted to the student office. Proposals without mentor confirmation will not be considered.

  4. Students can submit requests related to the thesis to the Committee for Study Affairs via VIS, such as requests for extending the validity of the proposal, changing the supervisor, or changing the title of the final work.

  5. All theses must comply with the "Instructions for the Preparation and Production of Professional and Scientific Texts" at Alma Mater.

  6. When the mentor approves the final content of the thesis, it must undergo a technical review and plagiarism check. The final work, in .doc format, is emailed to: tehnicni.pregled@almamater.si. The student must also submit the O15 form, available in VIS under "Materials/Other Materials/Study Materials." Once reviewed for plagiarism and compliance, the thesis is examined by technical services for design and formatting.

  7. After approval, the student converts the final work (with all attachments) to PDF/A format and uploads it to VIS ("End of Study -> Final work"). When submitting, the student should provide the final title, keywords, and abstract in both Slovenian and English, using lowercase letters. Save the document as PDF/A by selecting "ISO19005-1 compliant (PDF/A)" under file settings.

  8. Once successfully submitted in VIS, the head of the study program will appoint the defense committee within five days. The committee has 10 working days to assess the thesis. If corrections are needed, the student can resubmit in VIS. A maximum of two submissions is allowed, with a third submission only permitted after a successful defense if further revisions are required.

  9. The student registers for the defense on form O4, available in VIS, along with required documents. If practical training is part of the program, submit the practical training completion confirmation as well. Defense typically occurs within 30 days after committee approval.

  10. The physical copy of the thesis should be bound in dark blue canvas or artificial leather, with silver lettering. The student’s name should appear on the spine of the book.

The doctoral process is not carried out through VIS; applications are submitted electronically to: urska.kolaric@almamater.si. Applications are reviewed by the Committee for Scientific and Research Work (KZRD) and approved by the Senate at its meetings. Only complete and timely applications are considered.

Description of the Process for Doctoral Dissertation

  1. Submission of Proposed Research Area: The doctoral student submits Form D1 with a professional bibliography (if available) and CV in Europass format. Form D1 must be approved by the supervisor or program head before submission to KZRD.

  2. Submission of the Doctoral Dissertation Proposal: The student prepares the proposal on the required template. After mentor approval, it is submitted for technical review with the O1 form (signed by mentor and co-mentor, if applicable) and emailed to tehnicni.pregled@almamater.si. Technical services review the proposal for design, formatting, and similarity content. Upon passing technical review, the proposal is submitted to KZRD for assessment.

  3. The KZRD may suggest changes to the proposal or recommend a different mentor if needed. A successful proposal is presented publicly before an assessment committee, where other students are also invited.

  4. Submission of the Doctoral Dissertation: After Senate approval of the dissertation proposal, the student begins dissertation preparation. Following mentor approval, the proofread dissertation is submitted for technical and plagiarism review, along with the O3 and O15 forms. After technical review, the dissertation is sent in .doc and .pdf formats to Student Affairs at urska.kolaric@almamater.si.

  5. The Dissertation Assessment Committee has two months to evaluate the dissertation and submit assessments to the Department of Student Affairs. Positive assessments lead to the Senate’s appointment of a Defense Committee, with confirmation of a scientific article publication as a requirement for membership.

  6. Defense of the Doctoral Dissertation: The defense, coordinated by Student Affairs, typically occurs within 30 days of Defense Committee appointment. Students submit bound copies of the dissertation as required. The defense includes a 30-minute presentation, and a detailed defense protocol is provided.

Conditions for Becoming a Mentor or Co-Mentor: To qualify as a mentor, a university teacher must have at least an assistant professor title, meet research activity criteria, and have prior mentorship experience. A co-mentor from Alma Mater is required if the mentor is external. Mentorship is limited to three active doctoral students.

Publication of a Scientific Article: Before defense, the student must publish at least one scientific article in an approved journal (SCI, SSCI, SCOPUS, or A&HCI). Only original scientific articles are accepted, and Alma Mater must be listed as the affiliation.
