Student status may be extended for a maximum of one year, provided that:
a student does not graduate in a study program of the first or second Bologna cycle within 12 months after the conclusion of the final semester, if he or she did not previously repeat a year or change the study program;
a student does not graduate from a study program of the first or second Bologna cycle at the end of the final semester, if the student repeated a year or changed the study program;
a student does not enrol to the next year or semester during the studies;
a student does not complete a post-graduate education of the second Bologna degree after a master’s study program, within 12 months after the final semester.
Justified reasons for not completing study obligations:
Motherhood during studies – proof: extract from the birth register. Female students who give birth during the current academic year are entitled to an extension of student status by one year for each live-born child, provided they have student status during that academic year.
High-risk pregnancy during the current academic year, regardless of the pregnancy outcome – proof: certificate issued by a specialist gynecologist.
Fatherhood during the child’s first year of life, if the father lives in the same household with the child and takes parental leave for childcare – proof: extract from the birth register, certificate of shared household, certificate confirming the use of parental leave.
Illness lasting at least three months during the lecture period – proof: numbered medical certificate issued by the student’s general practitioner, stating the period of treatment. The certificate must indicate the dates of absence. During this absence, the student may not take exams or fulfill other academic obligations, which must be evident in the official VIS records.
Severe social circumstances in the student’s family, as documented by the Social Work Centre, which have hindered the student’s academic engagement during the exam period of the current academic year – proof: certificate from the Social Work Centre confirming the onset of the circumstances at least one month prior to the examination period.
Recognized status of a person with special needs or special status – proof required: A decision on recognized status issued for higher education studies (a decision from primary or secondary school is not valid).
At least three months of education abroad – proof: proof of education abroad.
Active participation in the governing bodies of the institution – Proof: a certificate issued by the president of the relevant AMEU body confirming the student’s active participation in the meetings of Alma Mater bodies. The certificate must clearly indicate the number of meetings convened and the student’s attendance (expressed as a percentage), as well as at least one documented substantive contribution to the work of the body (e.g. an initiative, meeting minutes, report, or participation in a working group). Tutoring is not considered a governing body of the institution.
Active participation in top-level professional, cultural, or sports events – proof: a certificate issued by the organizer or umbrella organization, clearly stating the name of the event, its national or international significance, the student’s role (e.g. lecturer, exhibitor, performer, delegation member, organizer, categorized athlete, referee, etc.), the time period of participation, and the extent of involvement (e.g. preparations, number of performances or matches, duration of the activity). For athletes, appropriate documentation includes an extract from the register of categorized athletes of the Olympic Committee of Slovenia or a certificate issued by the relevant sports federation for non-Olympic disciplines. For cultural and professional events, the certificate must be issued by a credible institution such as JSKD, ZKD, a research organization, or a relevant professional association. All certificates must be signed and stamped. Passive participation, without a clearly demonstrated active role, does not qualify as valid proof.
A student must attach a proof of circumstances in question. The Committee for Student Affairs is hold responsible for interpretation and criteria of reasons listed above.
Students who have grounded reasons for not completing their study obligations must submit a request for an extension of student status to the Committee for Student Affairs. The request for extension can be submitted in VIS, by selecting 'Requests' in the left-hand-side menu, then fill the Request for Enrolment – Extension of Student Status form. Students must add scanned documents (up to five attachments) to the completed request. When the application is complete and successfully submitted via VIS, the Student affair office will include it in the next meeting of the Commission for Study Affairs (KŠZ) and issue the student with an invoice for processing the request in accordance with the Alma Mater price list. The student will receive the invoice to his email address, which he must settle within seven days.
Student who receives the Committee’s approval for Extension of Student Status, must consider the following: Within five workdays after the decision of the Committee for Student Affairs, we will prepare an enrolment sheet, which should be filled electronically in VIS, and therefore complete enrolment to the higher year. VIS can be accessed through the Alma Mater website - https://vis.almamater.si/en/prijava.htm with a personal password.
We kindly ask you to confirm that you have settled all your financial obligations for the previous year before the enrolment and completed all assigned surveys.
Costs of student status extension
Each student settles the enrolment fee as per Alma Mater price list (EUR 150.00). When filling in the UPN payment order, state SI00 and account numberas reference, name, surname and “status extension” as purpose of payment.
